Impressions. Clicks. Opt-ins. Sales.
Most founders feel their funnel.
But winners track it.
The one-page tracker I use (from Your Business Growth Playbook):
Columns → Stage · Volume · Conv. from prior · Conv. from top · Cost · Notes · Owner.
Rows → Impressions → Clicks → Opt-ins → Sales.
Next, add the last 30 days of data. If a number’s missing, fix the wiring (ads → analytics → CRM) first.
Four ratios that expose leaks
- CTR = Clicks ÷ Impressions. (Clear, standard definition. )
- Opt-in rate = Opt-ins ÷ Clicks.
- Sales rate = Sales ÷ Opt-ins.
- Top-to-bottom = Sales ÷ Impressions.
Now you can see where the slope gets steep.
Keep the “scent trail”. If CTR is solid but opt-ins tank, your ad promise and landing page don’t match. UX research calls this information scent, In other words, users follow the clearest path to the payoff; weaken it and they bail.
Fix one stage per week
- CTR: tighten audience, sharpen the first line, remove weak keywords.
- Opt-ins: fewer fields, restate value above the form, match imagery to the ad.
- Sales: faster time-to-call, confirmation email + SMS, and a tighter first-call script (pain, fit, next step).
A subscription funnel “felt sluggish.” The tracker showed healthy CTR and opt-ins but the leak was opt-in → booked call. The email buried the calendar link and the page introduced a new, confusing offer. We aligned the promise, put the calendar above the fold, and added a 24-hour reminder. As a result, show rates climbed; sales followed with no ad changes.
Wayfair used in-market audiences to reach people closer to purchase, lifting ad response up to ~20% and short-term conversions 10–30%—proof that improving one stage can move the whole funnel.
Let CLV set the ceiling. When you know customer value, you know what you can pay for a lead or a sale. That turns “expensive” into “profitable.” And holding on to those customers pays off, since a 5% bump in retention can lift profits by 25% to 95%.
🧠 Key Takeaway
Don’t scale a mystery. Put every stage on one sheet, assign owners, track weekly, and fix the weakest link first.
What stage will you improve this week, and what’s the single change you’ll ship?
